Welcome to Office 365!

With Office 365 (O365), you have access to an online suite of tools through the O365 Portal, where you can access O365 online applications.

To get started, log into your O365 Portal with your primary UHN email address and begin exploring the new features.

This essential Office 365 Tip Card will provide you with key information about O365, and get you started on its features.

You can access your email, Skype for Business, OneDrive and more while off-site through the O365 Portal.

Step 1 Log into the O365 Portal using your primary UHN email address.

Once you enter your email address, you will be redirected to UHN's customized login page.

Step 2 Enter your email password and select Sign in. Your email password is the same password you use to log into your UHN computer.

 

To access your email from an Interner browser while off-site, you will be required to use either VPN or complete Multi-Factor Authentication (MFA).

When accessing your O365 Portal for the first time, you will be prompted to set up MFA.

  • What is MFA? This is a new security feature for off-site access to O365, which requires user ID, password and another authentication method for log in.

Upon first logging into the O365 Portal, you will be required to enter a phone number. We recommend you use a personal mobile phone number to access your account from anywhere.

You may also add an extension or landline number, however, you will need to be by that phone to complete MFA. Note, to add an extension number, you will need to enter a four-digits and the # sign.

There are three authentication methods you can use for MFA:

Phone Call
  • You will receive a phone call from (855) 344-4825.
  • Please press # to complete verification.
Text Message
  • You will receive a text message with a code.
  • Enter the code directly onto the webpage to complete verification. 
Mobile Authenticator App
  • Download the Microsoft Authenticator App to an Apple, Android or Windows phone.
  • Use the app to receive notifications or enter a code.
 
 
 

 

Mobile Device Management (MDM) is a UHN service designed to balance demands for greater mobile device choice and flexibility with the need to keep hospital systems, health information, and confidential data secure.

If you wish to use a personal mobile device for work (Email, Epic, MS Teams), you can do so by enrolling your device in UHN’s MDM service.

Instructions are available to staff by logging into UHN’s Intranet here and heading to the UHN Digital Page, where you will find MDM and Bring Your Own Device (BYOD) information.

You can also enroll into MFA and set up your authentication methods through the MFA User Portal at https://mfa.uhn.ca 

You can access the MFA User Portal both on and off-site. This will come in handy when you need to change any MFA settings while on UHN site, such as your authenticator phone number or method.

Provide your UHN username and password, click Log In.

You will be taken to the enrolment process, where you can select from three options.

a. If you select phone, you will need to provide mobile phone number(s) to receive an automated phone call.

b. If you select text message, you will need to provide your mobile number to receive a text message code.

c. If you select mobile app, click on Generate Activation Code.

Follow the instructions on your screen and scan the barcode by taking a photo with the app. You can also select manually enter code and enter both the activation code and URL.

Once you have successfully authenticated using the method of your choice, you will be redirected to the MFA User Portal.

From the MFA User Portal, you can update the method you use to authenticate, change your phone number or activate your Microsoft Mobile Authenticator App.
